PAYMENTS

Connect Square and accept card payments

Configure Square, verify the connection, choose an environment, and test payment handling safely.

Guide typeStep by step Estimated time2 minutes Best forPayments

Square can provide embedded card fields or hosted payment links. Configure and test the sandbox environment first; production credentials move real money.

Before you begin
  • Create or access the correct Square Developer application.
  • Know which Square business and location Party Desk should use.
  • Make sure the public booking page uses HTTPS.

Connect the Square sandbox

  1. Open Payment Settings and select Sandbox.
  2. In the Square Developer Dashboard, open the matching application and copy the Sandbox Application ID.
  3. Copy the Sandbox Access Token and paste it into the access-token field. Do not paste the Application ID into this field.
  4. Copy the matching Sandbox Location ID.
  5. Enter the webhook signature key only when your connection uses Square webhooks.
  6. Save the settings, then run the built-in connection test.
  7. Confirm Party Desk reports the expected Square business and location.

Test a sandbox payment

  1. Create a fictional test booking with a small total.
  2. Open its payment action or complete the public checkout with a Square sandbox test card.
  3. Confirm Square reports a successful sandbox payment.
  4. Reload the Party Desk booking and verify the paid amount, payment status, reference, and remaining balance.
  5. Check the customer portal and invoice for the same balance.

Move to production

  1. Switch Payment Settings to Production.
  2. Replace every sandbox value with the matching production Application ID, Access Token, Location ID, and signature key.
  3. Save and run the connection test again.
  4. Place one controlled live transaction according to your business policy, then verify the booking and Square records agree.

Embedded checkout requirements

The public booking page must use HTTPS. When embedded checkout is not ready, Party Desk can use a Square payment-link fallback if it is configured.

Never paste secrets into support tickets or screenshots. Redact access tokens, application secrets, webhook signature keys, and customer payment information.
