A consistent booking lifecycle keeps the calendar, automations, reports, customer portal, and operations team aligned.
1. Review the inquiry
- Open the new record from Bookings.
- Verify the name, email, phone, event date, time, address, package, and notes.
- Check the calendar before promising availability.
- Assign an owner or record the next follow-up action.
2. Prepare and send the quote
- Select the correct package and add-ons so duration and pricing remain consistent.
- Document approved custom pricing, travel charges, discounts, or special requirements.
- Set the status to your quoted or awaiting-approval stage.
- Send the quote, invoice, contract, or payment request required by your process.
3. Confirm the event
- Confirm the customer accepted the scope and date.
- Verify any required deposit or signature has been received.
- Change the booking to the status your system uses to reserve availability.
- Assign employees and equipment, then verify the event appears on the calendar.
4. Fulfill and close the job
- Review the final schedule, route, access instructions, and customer contact method.
- After service, record approved notes, job media, mileage, and payment activity.
- Set the booking to Completed only after the operational record is accurate.
- Confirm the balance, invoice, contract, and reports agree.
Cancellation procedure
- Record the cancellation date and a concise internal reason.
- Apply your written cancellation and refund policy.
- Release staff, equipment, route, and calendar capacity.
- Stop or adjust scheduled reminders so the customer does not receive event-day messages.
Important: decide which statuses block availability before accepting live bookings. Use the same meaning across every employee and automation.
